Google Calendar Integration

Sync your appointments, jobs, and tasks to Google Calendar automatically — for you and your whole team.

Why Connect Google Calendar?

If you already live by Google Calendar on your phone, connecting it to A.X.E.L means you never have to check two places. Every appointment, every scheduled job, every task with a due date — it all appears on your Google Calendar automatically.

No more copying appointments across manually. No more missing a site visit because it was in A.X.E.L but not on your phone. Connect once, and everything stays in sync.

What Gets Synced

When you connect Google Calendar, A.X.E.L syncs three types of events:

  • Appointments — quote visits, follow-ups, consultations, any scheduled customer interaction
  • Jobs — scheduled jobs with start and end dates appear as calendar blocks
  • Tasks — any task with a due date shows up as a 30-minute event with a 📋 prefix, so you can spot them at a glance

Events are created, updated, and deleted in real time. Change a job date in A.X.E.L? Google Calendar updates within seconds.

Two Calendars, One System

When the business owner connects Google Calendar, A.X.E.L creates a dedicated business calendar inside your Google account — named after your business (e.g. "Dave's Plumbing & Heating").

This is your bird's-eye view. Every appointment, job, and task across the whole business appears here, regardless of who it's assigned to. Think of it as your ops calendar — the full picture of what's happening in the business.

Your personal Google Calendar stays clean. Business events live in their own calendar, which you can toggle on and off in Google Calendar whenever you want.

Tip: The business calendar shows up in Google Calendar's sidebar under "Other calendars". You can change its colour to make it stand out.

Personal Calendars for You and Your Team

On top of the business calendar, anyone in your team — including you — can connect their own personal Google Calendar. When they do, only the events assigned to them appear on their personal calendar.

Here's the difference:

  • Business calendar (owner only) — ALL events, full business overview
  • Personal calendar (any team member) — only events assigned to that person

This means your plumber sees their jobs on their phone. Your apprentice sees their tasks. Your office manager sees their follow-up appointments. Everyone gets exactly what they need — nothing more, nothing less.

Reassignment? Handled Automatically

If you reassign a job from one team member to another, the calendar updates automatically:

  1. The event is removed from the old team member's personal calendar
  2. The event is added to the new team member's personal calendar
  3. The business calendar stays unchanged (it always has everything)

No manual updating. No "oh sorry mate, I moved your Tuesday job to Dave but forgot to tell Google". It just works.

How to Connect (Owner / Manager)

  1. Go to Settings → Integrations
  2. Under Google Calendar, click Connect Google Calendar
  3. Sign in with your Google account and grant access
  4. A.X.E.L automatically creates your business calendar and starts syncing

Once connected, you'll see toggle switches for auto-syncing appointments, jobs, and tasks. All are on by default.

Want your personal calendar too? Under the business calendar section, you'll see "Your Personal Calendar" with a Connect button. Click it, sign in with Google, and your assigned events will appear on your own calendar alongside your personal events.

How to Connect (Team Members)

  1. Go to Settings → Integrations (team members have this tab too)
  2. Click Connect Google Calendar
  3. Sign in with your Google account
  4. Your assigned appointments, jobs, and tasks will start appearing on your calendar

Team members only see the personal calendar connection — they don't create or manage the business calendar. That's the owner's domain.

Rescheduling from Google Calendar

This is where it gets really useful. If you drag an appointment to a different time in Google Calendar — or change the date on your phone — A.X.E.L picks up the change automatically and updates the original record.

This works for all three types:

  • Appointments — new date, time, and duration all update
  • Jobs — start and end dates update
  • Tasks — due date updates

No need to open A.X.E.L and change it there too. Move it in Google Calendar, and A.X.E.L follows.

This works even without two-way sync enabled. Because you're updating an existing A.X.E.L event (not creating a new one), rescheduling always syncs back. It's only new event creation that requires two-way sync.

If you delete an event from Google Calendar, A.X.E.L marks the appointment or job as cancelled, and tasks as completed.

Two-Way Sync (Optional)

By default, sync is one-way: A.X.E.L → Google Calendar. Rescheduling syncs back automatically (see above), but new events created directly in Google Calendar won't appear in A.X.E.L.

Toggle on two-way sync if you want new Google Calendar events to create appointments in A.X.E.L. Useful if you sometimes schedule things from your phone and want them to appear in A.X.E.L automatically.

Two-way sync is off by default. Toggle it on from Settings → Integrations → Google Calendar.

Note: Two-way sync creates new appointments in A.X.E.L (not jobs or tasks). You can convert them to jobs later if needed.

Sync All Now

When you first connect, you might have existing appointments, jobs, and tasks that haven't been synced yet. Hit the Sync All Now button to push everything to Google Calendar in one go.

This is also handy if you ever feel things are out of sync — one click and everything's refreshed.

Changing Your Calendar

Want to sync to a different Google Calendar? Click Change Calendar in the Google Calendar settings section. You'll see a dropdown of all calendars in your Google account. Pick the one you want and your events will move there.

Which Plans Include It

Google Calendar integration is available on:

  • The Grafter (£29/month) and above
  • The Gaffer (£39/month)
  • The Guv'nor (£59/month)

Not available on The Apprentice (Free) or Lead Goblin plans.

Disconnecting

If you want to disconnect Google Calendar:

  1. Go to Settings → Integrations
  2. Click Disconnect under Google Calendar
  3. Your events will remain in Google Calendar but won't be updated anymore

The business calendar A.X.E.L created stays in your Google account — you can delete it manually from Google Calendar settings if you don't want it.

Reconnecting later will create a fresh business calendar and re-sync everything.
